hello,
i have been talking to the air ambulance for nottinghamshire and lincolnshire. and i am looking at the possibilitys of organising a 4x4 event to raise money for the air ambulance.
the event would be in nottinghamshire or lincolnshire, the problem is the only thing i have organised before is a night out down town.
as much advice as you can offer
and some fellow organisers and helpers

have you decided if you are wanting a show or a play day?
as for shows no idea but if you want to do a play day the first thing you need to do is contact likely venues. That will give you an idea of likely cost and willingness to participate.
If you want to organise a fun competition or experience day pm me as i may be able to muster some marshalls and some expierience with that kind of event.
We helped out the phoenix charity about 18 months ago. they had a womens driving experience day.... it was really good , We did the 4x4 and the venue threw in a unimog and other big vehicles. So i got to play in a modern Mog for a little while...it was fun!
the key will be to make sure it doesnt clash with another event.

in my mind i have a show but i want the one that will be the most profitable for the air ambulance
i have a contact that organises pay and play events monthly who would be able to help me out with off-road sites i could use

if you can get the takers a pay and play day may be better, whats the venue that your contact uses? You could try to do a combination. Getting spectators for offroad events is not easy though.

use a regular site, provide toilets, food, stall etc, make it an off road day, talk to Greenlanekit, he uses sibbertoft, or Whaddon is fairly inexpensive.

the biggest site he has used that i have been to is norwood near pleasly, mansfield

If your organising an event then you may need Public Liability Insurance,
I have used Footman James in the past (here) (http://www.footmanjames.co.uk/) for weekend events at pay and play sites :wink:

what do you think about a weekend challenge with various differant bits like a treasure hunt where you have to stamp a card attached to your vehicle with differant stamps placed around the forest, night time driving and a trail?
how much would the public liability insurance cost?

he runs two of the best sites around here, and one of them ( barthomly ) would be ideal to camp

Lincolnshire you have Kirton which is supposed to be massive, and as for insurance the charity may not have the level of cover required by this type of event!

I drove past a off road site that is on a dissused air field east of Lincoln. It is called Manby off road. I know a mate used to go around it when he was younger (about 10years ago) and he said it was fun to play on. His fun maybe different to ours though!!
If you wanted to tag on a treasure hunt too then there was a few fords aound there too, one being a 300ft long one and shallow enough for all 4x4's to pass through it as a mate in thier 3month old x trail managed it but deep enough to be fun. That would be a great place for a card to be got!

kirtons huge, i know the guys well. If you want to do an event there i can put you in touch, Its probably the best site in the UK.
If you do a competition you need more than public liability. If you have the intrest i can probably help out on the insurance front. Believe me it will turn into a heck of big event to organise.

who do i need to get in touch with about kirton?
i would need some one to help me scout out the routes because i dunno what an extreme 4x4 is capable of
im thinking have a couple of aspects to the weekend, do a treasure hunt where a card is tie wrapped to the vehicle on a length of string and there are posts around the site or somthing simular while at the same time just using the site for pay and play. have a night time driving challenge of some sort.
would need a couple of recovery vehicles and some one with a winch that knows how to safely use it.
any suggestions as to what activities top put on?

If its your first attempt keep it simple. A competition event will need more organising (but I know some guys who could do it) with setting up etc. Pay n play is easy, get a deal with a site so that you can share the gate money, then all you have to do is promote the event. Th epay n play site will already have the required insurance cover. The trick is to avoid clashinf with othe big off roading events and shows ie Billing, Peterborough etc. Kirton would make an excellent choice as it has on site catering, toilets, showers and can accomodate camping. Check oput their web site http://korc.co.uk/ or better still get along to one off their play days. The next one is 30/12/07, and they tend to run every last Sunday of the month. If you wanted to extend interest, and attendance then Kirton is big enough to have a vehicle/club rally as well, so all the rivet counting series collectors might be persuaded to come as well.
The key is getting the date right and then marketing the idea properly, but remeber, professionaly organised 4x4 shows (other than the well established Landy ones) can struggle for numbers.

then on saturday night... camping with a socialising session bbq ect ect
then on the sunday pay n play again with some sort of team event ?

you need to really work the charity angle and get as much free advertising in the press as possible, dates will be getting busy so you need to get moving.
Kirton will have some dates free im sure and there are areas that could be used as arena, as for organisation as Glaggs said we know a few lol..

Kirton have some great staff and recovery can be arranged, as can a level of marshalling.

kirton i think is too far away for the air ambulance to fly to,
shottle is closer and ill find out tomorrow if the air ambulance is able to fly that far, the problem is that if i ask it to fly too far i am possibly putting peoples lives in danger. ill contact shottle and air ambulance

is it a specific air ambulance? im sure lincs have one, the danger you face in counting on something like that is sods law says it will be needed and so is unlikely to attend.

I coordinated the East Anglia Off Road show at Bircham Newton for Breckland Land Rover Club raising funds for the East Anglia Air Ambulance for a while (raised £9000 one year) so believe me you need massive support from the members of an organisation like BLRC to make these things work. Health and safety issues alone are a minefield, with risk assessments, fire safety, planning, licensing, insurance, let alone the need for a road traffic act exemption certificate. Charities like the air ambulance are 100% happy to take the money raised but offer very little support in the planning and running of the event. Licensed sites like Manby will charge a heft fee per vehicle making it difficult to raise much at all.
Don't get me wrong I wish you well, but think small at first. Perhaps arrange a site discount for a few mud clubbers to meet for a day offroading and raise a bit of cash for the air ambulance by agreeing to pay full whack and pass on the discount, or run a simple competition between the attendees.
